Inviting teammates

LLDesk works better when the right people are in the workspace. This article covers how to invite teammates, what each role can do, and how to handle external collaborators (engineers, board members, lenders).

Sending an invite

From Settings → Team, click Invite teammate. Enter their email address, choose a role, and (optionally) restrict them to specific buildings.

The invitee gets an email with a one-click acceptance link. Once they accept, they show up in your team list, and the audit trail logs the addition.

Roles

LLDesk has four roles. Pick the lowest-privilege one that does the job — least-privilege is the right default.

  • Owner. Full access, including billing and team management. Use this for the principal of the LLC, the firm partner, or the board treasurer.
  • Admin. Full access to compliance, buildings, vendors, and documents. Cannot manage billing or invite owners. Use this for property managers and senior staff.
  • Editor. Can edit compliance items, upload documents, dispatch vendors. Cannot delete buildings or change workspace settings. Use this for ops staff and assistants.
  • Viewer. Read-only access. Can see the dashboard, compliance items, documents, and audit trail. Cannot make changes. Use this for board members, lenders, insurance carriers, and external advisors.

Building-level restrictions

By default, teammates see every building in the workspace. For larger portfolios, you can restrict a teammate to specific buildings — useful for property managers responsible for a subset, or for board members who should only see their own building.

Building restrictions apply to all features: dashboard, deadlines, documents, vendors, and audit trail.

Co-op / condo board specifics

For boards, the typical setup is:

  • Treasurer: Owner role.
  • Board president: Admin role.
  • Other directors: Viewer role.
  • Property manager (if external): Admin role, restricted to your building.
  • Engineer / QEWI: Viewer role, often restricted to a specific time window.

You can revoke any seat at any time. Revocation is immediate; the teammate loses access on their next page load.

External collaborators

You don't have to invite an engineer or attorney as a full teammate just to share a few documents. Use Share on any document or compliance item to generate a time-limited share link. The recipient sees only what you shared, no account needed.

Share links are logged in the audit trail with the recipient's email and link expiration.

Unlimited seats within your plan

LLDesk doesn't charge per seat. Within your plan's building tier, you can invite as many teammates as you need. We'd rather have your whole team in the workspace than have you bottlenecking through one person.
